Work Hub Employee Onboarding Guide

Step-by-step instructions for employees and HR administrators.

Overview

EarnIn Work Hub onboarding can be completed entirely on your mobile device or via the web. The process has three parts:

  • Part 1 — Click the Invite: Verify you received an invitation from your employer in your email. This link will start the onboarding process. If you don't receive this email, notify your HR administrator.
  • Part 2 — Identity: Verify your email, phone, and identity, then create a secure account.
  • Part 3 — Onboarding: Enter personal info, set up your paycheck and tax withholding, verify work eligibility, and sign required documents.

Once complete, your employer will review your submission. Your work info will appear in the EarnIn app after approval.

Part 1: Identity & Account Setup

Click the invite link provided by your employer to start the identity process. Before accessing Work Hub, you must verify your identity and create a secure account. This happens through a series of verification steps on the EarnIn app.

Screen: Enter the four-digit code we emailed you

EarnIn sends a 4-digit verification code to your work email address on file.

  1. Open the email from EarnIn in your inbox.
  2. Enter the 4-digit code in the app.
  3. Tap Continue.
tip

If you don't receive the invitation or 4-digit code within a few minutes, check your spam folder. Contact your HR administrator if the email address on file is incorrect.

Step 2: Enter your phone number

Enter the mobile phone number you want to associate with your account. This will be used for verification and account security.

  1. Type your mobile phone number.
  2. Tap Continue.

Step 3: Verify your phone (SMS code)

A 4-digit one-time code is sent by SMS to the phone number you just entered.

  1. Check your text messages for the code.
  2. Enter the 4-digit code in the app.
  3. Tap Continue.
tip

The SMS code expires after a short time. If it doesn't arrive, tap Resend to request a new one.

Step 4: Set up Face ID / biometrics

Screen: Make signing in easy and secure with Face ID

You can enable Face ID (or Touch ID on supported devices) for faster, more secure sign-in. This step is optional but recommended.

  • Tap Enable Face ID to turn on biometric sign-in, or
  • Tap Maybe later to skip.

Step 5: Create a password

If your device does not support biometrics, or if you chose to skip Face ID, you will be prompted to create a password for your account.

  2. Re-enter it to confirm.
  3. Tap Create password.

Step 6: Enter your date of birth

Provide your date of birth. This is used to verify your identity and comply with federal payroll regulations.

  1. Enter your date of birth using the date picker.
  2. Tap Continue.

Step 7: Review terms and conditions

Read the EarnIn terms and conditions carefully before proceeding.

  1. Scroll through the full agreement on screen.
  2. Tap I agree to accept.
note

Clicking I agree scrolls the page to show the rest of the terms. After reading, tap I agree again to confirm before the Continue button becomes active.

Step 8: E-sign

Screen: E-sign – Hello

Provide your electronic signature to complete the identity and account setup process.

  1. Review the signature agreement on screen.
  2. Tap to sign electronically.
  3. Tap Continue to proceed to onboarding.

Part 2: Work Hub Onboarding

After your identity is verified, you will complete a 5-step onboarding process inside the EarnIn app. A progress tracker at the top of each screen shows where you are.

  5. Sign documents

Tap Let's get started on the overview screen to begin. Each completed step shows a blue checkmark in the progress tracker.

Onboarding Step 1: Enter your personal info

The app collects your core personal and identity information required for payroll.

1a. Social Security Number

Screen: Securely verify your identity

EarnIn uses your SSN to verify your identity, ensure accurate tax reporting, and comply with federal payroll regulations.

  1. Tap the Social security number field.
  2. Enter your full 9-digit SSN.
  3. Tap Continue.

:::note Your SSN is secured with 256-bit encryption Your SSN is encrypted and never stored in plain text. Review the EarnIn Privacy Policy linked at the bottom of this screen for more information. :::

1b. Personal details

After your SSN, the app collects or confirms the following details:

Home addressYour current residential address (street, apt, city, state, zip).
Social security numberPre-filled from the previous step (masked for security).
Date of birthYour date of birth as entered during identity setup.

1c. Review and confirm

Screen: Does everything look correct?

Before proceeding, the app shows a summary of all your personal details for review.

Review each field carefully:

  • Legal name (e.g., Sarah N. Jones)
  • Phone number (e.g., (123) 456-7890)
  • Home address (e.g., 456 Oak Avenue, Apt 7C, Riverside, CA 92501)
  • Social security number (partially masked, e.g., •••-••-6789)
  • Date of birth (e.g., 06/15/1990)

If everything is correct, tap Confirm. If any detail is wrong, tap Edit details to go back and make corrections.

:::warning Important Confirm that your legal name matches your government-issued ID exactly. Errors here may affect your W-2 and tax documents. :::

Onboarding Step 2: Set up your paycheck

Screen: Select a bank account

Choose where your paychecks will be deposited. This account will also be used for EarnIn Cash Outs going forward.

The screen shows any bank accounts already linked to your EarnIn account. You can select an existing account or add a new one.

To select an existing account:

  1. Tap the bank account you want to use (e.g., Personal Checking −1234).
  2. Tap Continue.

To link a new bank account:

  1. Tap + Link a new bank.
  2. Follow the prompts to connect your bank securely.
  3. Once linked, select the new account and tap Continue.
tip

If you are not ready to link a bank account, tap Maybe later at the bottom of the screen. You can complete this step before your first pay date.

Onboarding Step 3: Set up tax withholding

You will complete your state tax withholding elections. The questions shown depend on your state of residence. The example below shows Indiana state tax elections.

Answer the following questions to determine how much state tax is withheld from each paycheck:

  1. Enter a number in each applicable field (enter 0 if none apply).
  2. Tap Continue.

Your state's withholding form determines these fields. The questions shown may differ depending on your home state. If you are unsure how many exemptions to claim, consult a tax professional or refer to your state's withholding instructions.

Onboarding Step 4: Verify work eligibility (I-9)

Federal law requires all employers to verify that every employee is legally authorized to work in the United States. You will complete Section 1 of Form I-9 in the app.

4a. Add supporting documents

Upload one document that proves both identity and work eligibility, OR two separate documents — one for each.

Option A — One document (proves both):

  • US passport or US Passport card
  • Permanent resident card or Alien Registration receipt card
  • Employment Authorization Document that contains a photograph (Form I-766)
  • Foreign passport with temporary I-551 stamp or I-551 printed notation
  • Foreign passport + Form I-94 / I-94A (for individuals temporarily authorized to work for a specific employer)
  • Passport from the Federated States of Micronesia (FSM) or Republic of the Marshall Islands (RMI) with Form I-94/I-94A

Option B — Two documents (one for each):

  • Proves identity: e.g., driver's license, ID card issued by a state or territory
  • Proves employment eligibility: e.g., Social Security card, birth certificate
  1. Tap your preferred option ("Proves identity and work eligibility", "Proves identity", or "Proves employment eligibility").
  2. Select the specific document type from the list.
  3. Follow prompts to upload or photograph the document.

4b. Preparer or translator (if applicable)

Screen: Work eligibility – Did a preparer or translator help you?

If someone helped you complete this section, you must disclose that here.

  • Select I did not use a preparer or translator if you completed the form yourself.
  • Select A preparer and/or translator assisted me in completing this section if someone helped you.

If a preparer or translator assisted you, enter their information:

SignatureThe preparer or translator must sign the attestation.

The attestation reads:

"I attest under penalty of perjury, that I have assisted in the completion of Section 1 of this form and that to the best of my knowledge that information is true and correct."

  1. Complete the applicable fields.
  2. Tap Continue.

Onboarding Step 5: Sign documents

The final step is to review and electronically sign any remaining employment documents required by your employer. These may include your offer letter, company policies, or other HR forms.

  1. Review each document presented on screen.
  2. Scroll to the bottom of each document.
  3. Tap to apply your electronic signature.
  4. Tap Continue after signing each document.
  5. When all documents are signed, tap Done.

The progress tracker will show all five steps with blue checkmarks once you tap Done. This confirms your onboarding submission is complete.

Completion: You're all set

Screen: You're all set—your info is being reviewed

After tapping Done, you will see the confirmation screen. Your employer is now reviewing your onboarding details. Your work information will appear in the EarnIn app once it is approved.

Download the EarnIn app

Scan the QR code shown on the completion screen to download the EarnIn app on your mobile device, or search for "EarnIn" in the App Store (iOS) or Google Play Store (Android).

  1. Open your phone's camera app.
  2. Point it at the QR code on the completion screen.
  3. Tap the notification to open the App Store or Google Play.
  4. Download and install the EarnIn app.
  5. Sign in with the email and password you created in Part 1.
  6. Tap Continue on the completion screen once you are done.

HR administrator reference

Use this section to support employees through the onboarding process and resolve common issues.

Common issues & resolutions

IssueResolution
Employee didn't receive verification emailConfirm the email address on file is correct in the admin portal. Resend the invitation email from the admin portal.
SMS code not receivedAsk the employee to tap Resend in the app. Confirm the phone number entered matches what's on file.
Employee used wrong bank accountThe employee can change their bank account selection before payroll runs. Direct them back to Step 2 in the app.
Personal info review shows incorrect detailsThe employee should tap Edit details on the confirmation screen to correct any errors before submitting.
I-9 document upload failsEnsure the employee's document photo is well-lit, in focus, and shows all four corners. Try retaking the photo.
Employee completed onboarding but info hasn't appeared in EarnInEmployer review is required after submission. Approve the onboarding in the admin portal. The employee's work info will appear in their EarnIn app within 24 hours of approval.

Onboarding completion checklist

Use this checklist to confirm an employee has fully completed onboarding:

  • Part 1 complete: email verified, phone verified, password or Face ID set up, date of birth entered, T&Cs accepted, e-signature completed
  • Step 1 complete: SSN entered, personal details confirmed
  • Step 2 complete: bank account selected or skipped (to be completed before first pay date)
  • Step 3 complete: state tax withholding elections submitted
  • Step 4 complete: I-9 supporting documents uploaded, preparer/translator section completed
  • Step 5 complete: all required documents signed
  • Completion screen shown: "You're all set—your info is being reviewed"
  • Admin review completed in the employer portal
