Invite an Employee to Onboard via Ready Pay Online
This guide walks employer administrators through enabling the Work Hub onboarding service in Ready Pay Online (RPO) and inviting a new employee to complete their onboarding. The employee receives an email invitation with a link to the onboarding flow.
| Audience | Employers configuring employee accounts in RPO |
| Purpose | Enable the Work Hub onboarding service and send an employee an invitation to complete onboarding |
| System | Ready Pay Online (RPO) — Work Hub / ESS |
| Prerequisite | EarnIn service must be active at Identity Level (or Full Level) on the employer's account |
Before you begin
Confirm the following with your Payroll Service Bureau before proceeding:
- The company is active with EarnIn Payroll.
- The EarnIn service is turned on at the Identity Level on the employer account.
- You have administrator access to your RPO account.
- Your service bureau has end-dated the existing onboarding service on their end.
Part 1 — Add the employee and trigger the invitation
1. Navigate to the Onboarding Dashboard
In RPO, go to Company > Onboarding. The Onboarding Dashboard will load.
2. Click "Onboard Employee"
Click the Onboard Employee button on the dashboard. You will be prompted to select an Onboarding Group.
Onboarding Groups are typically organized by state or employee type (e.g., "New Hires — California"). Select the appropriate group for this employee.
3. Enter the employee's information
Fill in all required fields for the new employee, including:
- Full name
- Email address (the onboarding invitation will be sent here)
- Hire date (can be set to a recent past date if the employee has already started)
- Salary, employee type, and department
Double-check the email address — this is where the onboarding link will be delivered.
Save the employee record.
4. Employee receives the onboarding email
Once the employee is saved, the system automatically sends an onboarding invitation email to the address you entered. The email contains a unique link for the employee to begin their onboarding. The employee should receive this email within a few minutes.
Part 2 — What the employee experiences
Share the following information with the employee so they know what to expect.
5. Employee clicks the link in their email
The employee opens the invitation email and clicks the onboarding link.
The link must be opened in a fresh browser session (e.g., Incognito/Private mode) to avoid identity conflicts if the employee is already logged in to another account.
6. Employee verifies their identity
The employee will be prompted to confirm their email address. They will also be asked to enter their date of birth for identity verification.
7. Employee completes the onboarding flow
After identity verification, the employee enters the Work Hub onboarding flow. This is a multi-step process covering personal details, tax forms, direct deposit setup, and acknowledgments. The full onboarding flow is covered in a separate guide.
Troubleshooting
| Issue | Resolution |
|---|---|
| Onboarding service does not appear in RPO | Contact your payroll service bureau and advise them to review your services list. |
| Employee does not receive the invitation email | Confirm the email address entered is correct. Ask the employee to check their spam/junk folder. |
| Employee gets an identity error when clicking the link | Ensure the employee opens the link in an Incognito/Private browser window. |
| Onboarding option is grayed out or unavailable | Contact your payroll service bureau to ensure EarnIn is active at the identity level. |
